Details on how to apply for visa support and hotel recommendations will be provided with during registration. For anyone who has already registered, we will be in touch regarding visa support by August 2024.

Visas

Nationals of some countries require a visa to enter the Japan. If you are unsure whether you require a visa, please check exemption of visa website which lists the countries or regions that do not require a visa to enter Japan.

Processing times for visa applications

The time required from visa application to visa issuance is five working days from the day following the date of receipt of the application, provided there is no particular problem with the content of the application. Meanwhile, it may take longer than usual if a large number of visa applications converge in a short-time period.

If there is any problem with the content of the application, the Embassy/Consulate General transmits the application to the Ministry of Foreign Affairs in Tokyo for further examination. In such cases, issuance of a visa may take more than a month. Visa applicants are reminded to apply early for their visa, well in advance of the anticipated travel date.

Applying for a Japan Visit Visa

An application for visa is made by the applicant him/herself at the Japanese Embassy/Consulate General with jurisdiction over the area in which the applicant lives or those with jurisdiction over the country of which the applicant’s passport is issued. For the application process, please check the procedures chart for short-term stay (tourism, business, visiting relatives, etc)

Documents you must provide to apply for your visa

The documents necessary for the application differ depending on the travel purpose and the nationality of the applicant. In some cases, not only documents prepared by the applicant him/herself but documents prepared by the inviting person in Japan are required to apply for a visa. Please acquire all necessary documents prepared by the inviting person in Japan well in advance if needed.

Letter of Support for visa applications

An official Letter of Support to obtain a Visa and authorization to attend the Symposium will be issued ONLY after Registration has been completed with full payment received.

Please note the following when applying for a visa invitation letter:

• Please answer all visa-related questions at the time of registration on the registration platform. In addition, please submit a copy of your passport and a share where you will be staying in Japan on the registration system. If you registered prior to 24 July the Japanese Tourism Bureau will be in touch for your information shortly
• Based on the information submitted, a Letter of Guarantee, Invitation Letter, Overview of Company/Organization, and Itinerary in Japan will be prepared and sent to you
• It takes about 1-2 weeks to receive the documents, so please apply as early as possible
• Please note that these letters of support for visa applications are not a guarantee of visa issuance.

Passports

A valid passport is required for citizens of all countries to enter the Japan.
